Ventify respects your privacy. This policy explains how we collect, use and protect information you provide when requesting an air-conditioning cleaning quote or using our website.

2. Information we collect
When you contact us or request a quote, we may collect your name, email address, mobile number, suburb, address, air-conditioning details, preferred timing and information you provide about the job. If we need photos of your air-conditioning equipment, we may ask you to send them by email.
If you are a property manager or holiday-rental host, you may give us information about the property and its occupants (for example, guest check-out times). We use it only to arrange access for the service.
We may also collect basic technical information about your use of our website, such as browser or device information, where this is collected by our website or analytics services.
Our website uses cookies (small files stored by your browser) to help the site work properly and to understand how visitors use it. Cookies don't identify you by name. You can block or delete cookies in your browser settings, although some parts of the website may not work as well.
We use Google Analytics, a service provided by Google, to understand how people find and use our website. Google Analytics uses cookies to collect information such as the pages you visit, how long you stay, the type of device and browser you use, your approximate location (for example, your city) and the website that referred you. This information is collected in a way that does not directly identify you, and we use it only in aggregate to improve our website and services. 3. How we use your information
We use your information to respond to enquiries, assess quote requests, prepare and provide quotes, arrange services, communicate with you, manage our business and improve our website and services.
We do not sell, rent or trade your personal information. We only share it as described in this policy, or where required or permitted by law.
4. AI-assisted quoting
Ventify may use third-party software and AI services to help review information submitted through our quote form and prepare a suggested quote or draft customer email.
AI assistance is used as part of our internal quoting process. A suggested quote is reviewed by Ventify before it is sent to a customer. We do not intend for the AI system to make a final quote or automatically send a quote to you.
5. Service providers
We may use trusted third-party providers for website hosting, form processing, automation, AI-assisted quoting, email and other business functions. Information may be provided to those providers only as reasonably required for them to provide their services to us.
Some of these providers, including our website host, our analytics provider (Google) and AI-assisted quoting tools, store or process information on servers located outside Australia, most commonly in the United States. We choose reputable providers and take reasonable steps to ensure your information is handled securely and in line with this policy.
Contractors who perform your job. Your service may be performed by an independent air-conditioning business engaged by Ventify. We give that business only the information it needs to do your job: your name, phone number, address, access instructions (such as lockbox or gate codes) and details of your system. They must use it only for your job, keep it secure, and delete it once the job is complete. They cannot use it to market their own services to you.
Payments by payment link or card are processed by our payment provider. We do not store your full card details.
6. Photos
We use photos you send us to assess your equipment and the work needed. During the service, we take before and after photos of each unit and any existing damage as a record of the work. We photograph only the equipment and work area, never people. We keep these photos with our job records. We will not use them for advertising or promotion without your permission, and never in a way that identifies you or your property.
7. Marketing
We may contact you about an enquiry or service you have requested. We will only send commercial electronic messages where permitted by applicable law and will provide an unsubscribe option where required.
If you tick the reminder box on our quote form, we may send you reminders when your next clean is due and occasional special offers. Every message includes a way to unsubscribe, and you can withdraw your consent at any time.
8. Protecting your information
We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification or disclosure. No internet transmission or storage system can be guaranteed to be completely secure.
If a data breach is likely to cause you serious harm, we will tell you as soon as practicable and explain what you can do.
9. How long we keep information
We retain information for as long as reasonably necessary for the purposes for which it was collected, including business, accounting, legal and dispute-resolution requirements.
10. Access and correction
You may contact us to request access to personal information we hold about you or to ask us to correct information that is inaccurate, subject to applicable legal requirements.
