Terms & Conditions

These Terms & Conditions apply to air-conditioning cleaning services provided by Ventify.

1. About these Terms

Last updated: 18 October 2026

These Terms apply to air-conditioning cleaning services provided by Ventify Pty Ltd (ABN 32 703 045 452, ACN 703 045 452) trading as Ventify ("Ventify", "we", "us" or "our").

By accepting a quote, confirming a booking or otherwise engaging Ventify, you agree to these Terms, provided they were made available to you before you accepted the services.

Contact us via our Contact page at ventify.com.au/contact or by email at info@ventify.com.au.

2. Our Service

2.1 What a deep clean includes. Ventify provides deep air-conditioning cleaning services. A typical deep clean may include cleaning the indoor unit, indoor coil, fan barrel and filters, together with the outdoor condenser coil. The system will be isolated before cleaning, and accessible components may be dismantled as required. The exact work depends on the type, condition, accessibility and configuration of the equipment.

2.2 Who we service. We clean air-conditioning systems in homes and holiday rentals, and in some commercial premises. Whether we can take on a commercial job depends on the type of building and system and on our licensing, and we will confirm this before we quote.

2.3 Outdoor units. Outdoor condenser cleaning is included where the unit can be safely reached from the ground or a standard ladder (up to approximately 3 metres). Roof-mounted, bracket-mounted or other hard-to-reach units may require additional equipment or a second technician. We will advise you of any additional cost and seek your approval before proceeding. If a unit cannot be accessed safely, we may exclude it from the service.

2.4 Ducted systems. Ducted systems require a site visit and assessment before any cleaning can be quoted. A site visit and assessment fee applies per ducted system and will be confirmed before booking. The visit includes cleaning the filters, cleaning the condensate drain (see "Drains and installation faults" in clause 3), wiping down the vents, a general hose-out of the outdoor unit to remove leaves and debris, and an inspection of the indoor coil and fan barrel where they can be reached without dismantling, with photos of their condition. It is not a deep clean of the coil or fan barrel. The assessment fee is separate and is not credited towards any later cleaning work. After the assessment, we will provide a separate quote for any cleaning work.

3. Work Outside the Cleaning Service

Unless specifically agreed, our services do not include:

  • Installation or replacement of air-conditioning equipment.
  • Refrigeration repairs or refrigerant handling.
  • Electrical repairs or modifications, including replacement of electrical components.
  • Major mechanical repairs.
  • Unrelated building, plumbing or other work.

If we identify an issue outside the cleaning service, we will let you know where reasonably possible. Any additional services must be separately agreed before work proceeds.

Drains and installation faults. We clean the condensate drain as far as it can be reached and cleared from the unit or the drain outlet with standard drain-cleaning equipment, without dismantling pipework, ceilings or walls. Some drain problems come from how the system was installed or from its existing condition, for example a pipe without enough fall, a sagging, kinked, crushed or disconnected pipe, a missing or faulty trap, a faulty condensate pump, or a unit that is not level. Cleaning cannot fix these. If we cannot fully clear a drain, or we see signs of an installation fault, we will tell you and send photos, and recommend that a licensed installer check it. We are not responsible for leaks, blockages or water damage caused by an installation fault or existing defect, but we remain responsible if a problem is caused by our failure to take due care and skill.

Who performs the work. Your service may be performed by Ventify or by an independent air-conditioning business engaged by Ventify. Either way, your agreement is with Ventify and we are responsible to you for the work. We will tell you before the visit who will attend. Please make all payments to Ventify only.

4. Quotes and Fixed Pricing

4.1 Fixed price. Our quotes are a fixed price based on the information you provide, including the number and type of units, their condition and access. Quotes assume normal, everyday dirt build-up and normal access.

4.2 Free quotes. Quotes for split systems, cassette units and package units are free. Ducted systems require a paid site visit and assessment first (see clause 2.4).

4.3 If the job is different. If the number of units, condition, accessibility or required work differs significantly from the information provided, we will stop, explain the difference and the cost of any additional work, and ask for your approval before continuing.

4.4 If you don't approve. If you do not approve the additional work or charge, we may limit the service to the originally agreed scope where reasonably practicable, or discuss alternative arrangements with you.

4.5 Prices. All prices, surcharges and fees in our quotes and on this website are the total amount payable, including any GST.

We will not carry out additional chargeable work without your approval.

5. Booking Options

When requesting a quote, you can choose an urgent or flexible booking.

Urgent. We aim to complete urgent bookings within 7 days, subject to availability. An urgent booking surcharge of $260 applies and will be shown on your quote. The surcharge only applies if we confirm an appointment within 7 days. If we can't, we will offer you the next available date without the surcharge.

Flexible. We will work with you to find a suitable date and confirm it with you in advance. No surcharge applies.

6. Access and Preparation

Please make sure there is clear and safe access to each air-conditioning unit before our technician arrives. This includes enough clear floor space directly below indoor units to safely position a ladder and cleaning equipment.

Furniture, curtains, curtain rods, pelmets, wall hangings and other items blocking access may need to be moved before work can begin.

Additional charges may apply where:

  • Access to equipment is restricted or difficult.
  • Furniture or fittings need to be moved or removed.
  • Equipment is installed more than 3 metres above floor level.
  • The property requires difficult or multi-level access.
  • More than one technician is required.
  • Equipment is heavily contaminated, including by mould, nicotine, cooking oils or grease.
  • Additional travel, parking or toll costs apply.
  • Services are requested on weekends, public holidays or outside normal business hours.

We will advise you of any additional charge and obtain your approval before proceeding.

We use drop sheets, catch bags and appropriate cleaning equipment, and take reasonable care to protect your property. Please remove televisions, electronic devices, artwork, ornaments and other valuables from the area below or around each unit before we arrive. We recommend that televisions and monitors are not positioned directly beneath air-conditioning units.

For everyone's safety, please ensure:

  • Children and pets stay away from the work area.
  • We have safe access to electricity, water and the unit's isolation switch.
  • The work area is free from hazards or obstructions.

We may pause, postpone or reschedule work where conditions are unsafe or suitable access cannot be provided.

Please tell us about any known leaks, faults or previous problems with your system when you request a quote.

If you book for a property you do not own (for example, as a tenant, property manager or holiday-rental host), you confirm that you have the owner's authority to arrange the work and give us access.

Keys, lockbox, gate and alarm codes are used only for your job, kept secure, and returned or deleted afterwards.

7. Existing Equipment Condition

Air-conditioning systems contain mechanical, electrical, plastic and other components that deteriorate over time. Pre-existing damage, wear or deterioration may not be visible until cleaning begins or components are accessed. Where reasonably possible, we will tell you about significant issues before proceeding or as they become apparent.

Older systems (generally around 8 years or more) and systems that have not been regularly maintained may have brittle plastics, filters and louvres, worn motors, deteriorated electrical components or damaged insulation.

We take reasonable care when handling and cleaning equipment. However, we are not responsible for faults or damage caused by pre-existing wear and tear, deterioration, corrosion, defective components or poor installation, except where the fault or damage is caused by our failure to exercise due care and skill, or where liability otherwise arises under applicable law.

Nothing in this clause limits your rights under the Australian Consumer Law.

8. Cleaning Results and Limitations

Cleaning is intended to remove accumulated dirt, dust, grime and other contaminants from accessible components. Results vary with the age, condition, design, accessibility and previous maintenance of the equipment.

Cleaning does not guarantee:

  • That equipment with an existing fault will operate correctly afterwards.
  • That all odours will be eliminated, particularly where their source is outside the cleaned components.
  • That dirt, mould or odours will not return.
  • That underlying mechanical, electrical, drainage or installation issues will be resolved.

Cleaning may remove visible mould and contaminants from accessible components. However, Ventify does not provide specialist mould remediation, environmental testing, or certification that equipment or premises are free from mould, bacteria or other contaminants. Cleaning does not address underlying moisture, ventilation or building conditions that may cause future contamination.

9. Photos and Job Records

We may take before-and-after photos of your equipment to record its condition and the work completed. These photos form part of our job records.

We will only use photos in our marketing with your permission, and never in a way that identifies you or your property.

10. Payment

Payment is due within 7 days of our invoice, by bank transfer or through the secure payment link we send after the service. Where a Ventify team member attends, you may also pay by EFTPOS on site. A contractor attending on our behalf cannot accept payment.

Any deposit, cancellation fee or other charge will be communicated to you before it applies. If additional services or charges are required, we will advise you of the cost and obtain your approval before proceeding.

11. Cancellation and Rescheduling

You may cancel or reschedule without charge by giving at least 24 hours' notice before the scheduled appointment time.

A call-out fee of $76.30 applies if:

  • you cancel with less than 24 hours' notice; or
  • our technician attends at the agreed time but cannot reasonably access the property or equipment due to circumstances within your control.

This fee covers reasonable travel, scheduling and attendance costs. It will not apply where the cancellation or inability to proceed is caused by Ventify, or by a failure to provide services in line with the consumer guarantees.

Occasionally we may need to reschedule because of weather, access restrictions, safety concerns, illness or other circumstances outside our reasonable control. If this happens, we will contact you as early as reasonably possible to arrange another appointment at no extra charge.

12. Australian Consumer Law

Our services come with consumer guarantees under the Australian Consumer Law, including that services will be provided with due care and skill.

Nothing in these Terms excludes, restricts or modifies any right, guarantee or remedy that cannot lawfully be excluded, restricted or modified. Where a service does not meet a consumer guarantee, you may be entitled to a remedy under the Australian Consumer Law.

13. Complaints and Service Concerns

If you have a concern about our services, please contact us as soon as reasonably possible with details of the issue, via our Contact page or at info@ventify.com.au.

We will review your concern and, where appropriate, arrange to inspect the equipment or return to address the issue. We will work with you to resolve concerns in line with your rights under applicable law.

We aim to respond within 2 business days. If we cannot resolve your concern, you can contact the Office of Fair Trading Queensland.

14. Changes to These Terms

We may update these Terms from time to time to reflect changes to our services, operations or legal requirements.

The Terms that apply to a particular service are those provided or made available to you when you accepted that service. Changes apply to future bookings only, and will not alter an existing agreement unless both parties agree.
